Knowledge Management

Capture what people know before it walks out the door

Why It Matters

Retirements, turnover, and grant cycles create constant knowledge loss. New employees reinvent processes, repeat old mistakes, and depend on the few people who remember how things work. Searching for files and answers eats into productive time. A practical knowledge management approach reduces those losses, speeds up onboarding, and makes the organization less dependent on any single person. It also preserves the institutional memory that funders, auditors, and partners expect.

Course Description

Participants begin with a knowledge risk assessment on their own team, mapping critical knowledge, who holds it, and how hard it would be to replace. They then compare capture methods for different kinds of knowledge: documented procedures and checklists for explicit knowledge, and interviews, shadowing, storytelling, and after-action reviews for tacit know-how. A practice segment has pairs conduct a short knowledge capture interview and turn it into a usable job aid. The course also covers organizing shared drives and intranets with consistent naming and ownership, and building sharing into routines rather than relying on goodwill. Each participant leaves with a prioritized knowledge capture plan for their area.
