Event Planning

Plan events that run on time, on budget, and welcome everyone

Why It Matters

Events are highly visible. A missing vendor, a room without accessible seating, or a budget that doubles near the end reflects on the whole organization. Many people who plan events do it on top of their regular job, with little structure and plenty of pressure. A clear planning method reduces stress and surprises. Organizations get events that support their goals, respect attendees, stay within budget, and leave partners and funders with a strong impression.

Course Description

Participants plan an event from their own work, or a realistic sample, as they move through the course. They start by defining the event's purpose, audience, and success measures, then build a budget with contingency and a backward timeline from event day. Vendor exercises cover writing clear requests for quotes, comparing bids, and confirming details in writing. Logistics planning includes venue walkthroughs, run-of-show documents, and staffing roles. Accessibility is built in from the start: physical access, materials, registration questions, and accommodations. The group stress-tests each other's plans with what-if scenarios such as a speaker cancellation or bad weather. Participants finish with a working plan and a debrief template for after the event.
